Envibe: How to understand enrolment and Direct Debits in Courses
Question
How can I understand charge for a direct debit on enrolment.
Answer
Course Enrolment Debit Schedules
Within the configuration of the Debit Type, that is connected to the Course Class Type, a debit schedule has been selected. This could be weekly, fortnightly or 4 weekly and is purely outlining the schedule of the debits and this could be. It is important to understand that each debit cycle.
1. Weekly
- All customers are on 1 debit cycle
2. Fortnightly
- Customers
can be split across 2 debit cycles depending on the date of their first session
3. 4 Weekly
- Customers
can be split across 4 debit cycles depending on the date of their first session
Customer's First Debit
Enrolling this week
for a class starting THIS week
- Each enrolled customer is debited on every
scheduled Monday (with the exception of their first debit if they are
enrolling this week for a class starting this week).
- Their first debit occurs on the next available
debit run from the time of which they enrol. This is usually the current day.It is important to understand that despite their first debit taking place the
day they enrol, the Next Payment Date in Envibe will be listed as the Monday
of the first week of their first lesson, this is purely to align with the
Monday Debit Schedule.
- They then will continue to be debited on a
Monday moving forward.
e.g. Jill enrolled in Swim School on Wednesday the 8th of July and
completed her first class. Envibe will list her ‘Next Payment Date’ as Monday the 6th July as that is the Monday of the week of her first
lesson. This does NOT mean that Jill was debited yesterday. She has
simply been included in the week’s scheduled debit and her payment will have to
be picked up on the next available run (which is usually the current day). The
payment will be taken on Tuesday the 7th of
July. Jill will then be debited on every scheduled Monday that
follows (fortnightly in this example).
- When paying for an
enrolment, it is important to understand that each customer is paying for their
sessions in advance.
Enrolling this week
for a class starting NEXT week
- Each enrolled customer is debited on every
scheduled Monday.
- Their first debit occurs on the Monday of the
week of their first session.
- They then will continue to be debited on a
Monday moving forward.
e.g. Jill enrolled in Swim School on Wednesday the 8th of July and
completed her first class is Tuesday the 14th July. Envibe will
list her ‘Next Payment Date’ as Monday the 13th
July and this payment will be
automatically picked up on the daily debit of the Monday
the 13th July. Jill will then be debited on every
scheduled Monday that follows (fortnightly in this example).
- When paying for an enrolment, it is important to
understand that each customer is paying for their sessions in advance.
