Question

What is lesson Based Debiting and how does it differ to Time Base debiting for course enrolments.


Answer

Course enrolments are debited based on the lessons occurring within the debit period, rather than simply by the number of days in the period. This allows for a more direct relationship between lessons and charges, and therefore an easier to understand module.

With this option enabled, debit runs will calculate the required debit amount based on the number of lessons that are expected to occur within the upcoming debit period. Whether upcoming cancelled sessions are charged as part of the debit run is optional, configured per course via the Debit Cancelled sessions option with in the Course.

Cancelled classes are supported via Cancelled Sessions or Shutdowns. Shutdown periods can be less than 2 weeks long, with Lesson Based Debiting (unlike Day-Based Debiting).

Lesson charges are based on the sales item for the enrolment.  The Sales item must reflect the charge for 1 class/session.

The following workflow changes have also been made to support this functionality when it is enabled:

·        moving a student into a class that has a past-dated cancelled session within the student's already billed period will credit the student for that session,

·        moving a student into a class that has a future-dated cancelled session within the student's already billed period will credit the student for that session if the new class has the Debit cancelled sessions option turned off,

·        moving a student out of a class prior to a session credited to the debit plan will adjust the debit plan by recharging for that session.


Cancelling Classes
Bulk credit workflow are no longer need if classes are cancelled in advance of debit cycle.  The students will not be charged for their classes (as per configuration)
Using time base debiting, classes are always charged in advance, and once classes are cancelled, bulk credit and manual crediting workflows are required.
