How can I create contact lists to group together contacts.


Answer



Within the CONTACTS module, Contacts can be sorted and grouped into Contact Lists.
This helps filter all contacts to view specific contact groups. These may include staff, suppliers, active members, members with active passes, upcoming birthdays etc.


To create a new Contact List:

  1. 1. Launch CONTACTS.

    1. 1. Launch CONTACTS.

    2. 2. Click LISTS


            

  1.       3. Click NEW.

  1.      4. Enter a Name for the list, e.g. Suppliers.



  1.   5. Fill in relevant criteria. 

  1.   6. Click SAVE.


  2. Fields available to use in Contact Lists include:

    • Upcoming birthdays – by clicking and selecting two options: This Month & Next Month.

    • Flags – if a flag has been set up for your members, these can be pulled into a contact list.

    • Age brackets – this field can be used to create age groups to then pull into a list.

    • Staff – capture all staff members. Anyone who has been flagged in the system as a staff member will show up in the list.

    • Future bookings – filtered with booking types, resources, resource types and resource classes.

    • Membership – active, suspended and access denied memberships, which can be further filtered to Membership Category and Type.

    • Passes – Active, suspended and access denied pass holders.

    • Courses – all enrolled students in courses.

    Note: When applying any checkboxes, ensure the option has been ticked to activate the filter. Checkboxes marked that are simply ‘greyed out’ take on an either/or approach and will not effectively filter as required.


Note: Various checkboxes are available to filter data. Check boxes are defaulted to a grey fill state.

This both includes and excludes data for this field. In the below examples, the grey filled box will include contacts that are both Staff and Non-Staff, while the ticked box will only include contacts that are staff, and the unticked box will exclude contacts that are staff.
