How do I cancel ad hoc classes in Courses?


Answer

The Class Cancellation function within Envibe allows the business to cancel applicable classes on the timetable. This may be due to a variety of reasons, including but not limited to, instructor illness, facility maintenance etc.

It is worth noting that, that pending the timing of a class cancellation, there may be students who have paid for the cancelled session (debit or upfront) and therefore may be eligible for a credit for a cancelled session. If so, Envibe will surface affected students on the Functions > Uncredited Cancelled Sessions dynamic list to process credit accordingly.

Steps involving cancelling a class:

Class cancellations can be done singularly, or in bulk using the following options:


1. Cancel a single class

2. Cancel multiple classes

1. Cancel a Single Class

   1.     Launch COURSES
  2.     Navigate to the appropriate class on the Courses Diary and click to select.
  3.     Click the cog wheel at the top right of the screen on the Courses Diary.


4.      Click CANCEL SESSION.

5.      This will automatically select the single class to be cancelled.

6.      Select a Reason for the cancellation from the list on the right of the screen.

7.      Add a Note.

8.      Click CANCEL SESSIONS.

9.      Once cancelled, the class will be BLACK in the Diary View, with a C in the bottom left corner.


2. Cancel Multiple Classes

1.      Launch COURSES.

2.      Click the dial to the right of the daily session and enrolment count.

3.      Select CANCEL SESSIONS.

4.      Multi-select applicable classes to cancel.

5.      Select a Reason for the cancellation from the list on the right of the screen.

6.      Add a Note.

    7.      Click CANCEL SESSIONS


  8.      Once cancelled, the classes will be BLACK in the Diary View, with a C in the bottom left corner.
