How do I enter a planned absence for a student in Courses


Answer

The Plan Absence function within Envibe allows students to suspend their course by planning an absence to their applicable classes.
This may be due to a variety of reasons, including but not limited to, illness, injury, other commitments, holiday etc.

Note:  Customers have the ability to report absences to upcoming course classes on the web portal by updating the web policy. 
On the web portal, the user must be logged into an account with upcoming course classes.
In courses, each enrolled course class displayed will have a new Report Absence button.
The customer clicks on  this button to enter a date for the absence and an optional reason.
When the reported absence is successfully submitted, the user will be emailed their absence details.

This removes the need for customers to call or visit the centre to report an upcoming absence, reducing the work of administration staff and increasing convenience for customers

Steps involved in Planning an Absence

If a student has requested to plan an absence, the Plan Absence workflow can be utilised to mark them as not attended in advance

To plan an absence:

1.  Launch COURSES.
2.  Select the applicable Class on the diary.
3.  Select the applicable student in the Class Summary.
4.  Select PLAN ABSENCE


          5.  If more than one session is being missed, click on No other sessions selected

    


          6.  Select all other applicable sessions affected.

          7.  Click SELECT



            8.  Select the Absence REASON.

            9.  Add any additional NOTES 

            10. Click SAVE


Note: Absence Reasons and Notes will be displayed against the student in the Class Summary, as shown in the image below
