Envibe: How to configure Courses in the Site policy

What are settings are required in the site policy for Courses
Answer
Policies and processes that
specifically relate to the Courses module are held within your sites Policy
and these need to be considered before moving forward with your initial Course
configuration.
To configure course policies:
1. Launch DATA MANAGEMENT
2. Search and select POLICIES
3. Select the applicable
policy and click Edit
1. Enrolment origins and wait/hold list periods
At the bottom of the left-hand
column of the policy, drop down options are available that dictate enrolment
origin preferences and retention periods for your hold and wait lists.
1. The Default enrolment origin gives you the
ability to choose whether you want a new enrolment to start from the next
available session in the current week, or to push it out to the first session
in the next business week
2. The Warn minimum enrolment origin has the
same two options and allows you to specify when a warning will pop up regarding
the number of enrolments not meeting the minimum capacity requirements that you
have set for the class
3. The Warn maximum enrolment origin is also a
notification that will dictate when a warning will be available for the site
when a class is about to exceed the capacity that has been set for the class
4. The Course hold period and Course wait period allows you to select
in days, weeks, months, or years how long you want to allow a student to remain
on a list before it is removed automatically. Leaving these options blank will
mean you need to manually manage these lists
Note: These five drop down options are not mandatory fields and therefore
can be left blank if they do not apply to your site
There are a series of
Course configuration related checkboxes:
1. Show Course Waitlist:
- Allows users to turn the Course Waitlist
functionality on/off
2. Conflate Course Non-Attendance
workflows:
- Allows users to dictate whether Non-Attendance
cases, and planned absence cases are combined or treated separately
3. Show Simple Enquiry:
- Allows users to turn the Enquiry functionality
on/off
4. Allow Bulk Crediting:
- Allows the use of the Bulk Crediting
functionality
5. Allow Immediate
Absence Crediting
- Allows users to
schedule a replacement session in the planned absence workflow
Applicable Credit Types
for your business will need to be selected within the applicable policy. These
are for planned absences, class cancellations, and non-attendance (non-show) scenarios.
The options available are to credit onto a Debit, issue a complimentary Pass
usage, schedule a Replacement session, and process a Refund.
